About TeamProof and the kits

What is TeamProof?

TeamProof makes ready-to-use rules, training, and proof-of-training kits for small businesses. Each kit takes you from “we really should have a policy for that” to a trained, signed-off team in one afternoon, without hiring a consultant or starting from a blank page.

What kits do you sell?

TeamProof’s catalog lists AI Policy Kits, Scam Defense Kits, and Protection Bundles for Real Estate and Accounting & Tax, plus one general AI Policy Kit. Checkout is awaiting the owner’s test.

  • AI Policy Kit: written rules for how your team uses ChatGPT and other AI tools, a Red / Yellow / Green guide to what data can go into AI, a ready-made training presentation, safe prompts, and employee sign-off forms. Check the individual listing for its contents.
  • Scam Defense Kit: a payment verification policy, staff training on fake invoices and AI voice-cloning scams, a quiz, certificates of completion, and a first-hour response checklist.

The Protection Bundle includes both industry-specific kits.

Which industries do you cover?

The currently listed industry-specific kits are Real Estate and Accounting & Tax. The catalog also has one general AI Policy Kit.

Editions for property managers, insurance agencies, home service contractors, and Small Business are not currently listed. Contact us if you’d like to hear about future editions.

Why does my business need this now?

Your employees are almost certainly already using AI, and most small businesses haven’t written down any rules for it. A Goldman Sachs survey of small business owners in 2026 found that about 74% of those using AI had no formal policy for employee use. At the same time, scams are getting harder to spot. The FBI recorded substantial business email compromise losses in 2025, and AI can now copy a person’s voice from a short audio clip. One wrong paste into a chatbot, or one fake “new bank details” email, can put your business’s money and data at risk.

Can’t I just find a free template online?

You can find a free policy document. What you won’t find is everything you need to actually roll it out: industry-specific examples, a training presentation with a word-for-word script, a quiz, sign-off forms, and printable desk cards your team will actually use. The policy is about 20% of the work. Getting a busy team to follow it is the other 80%, and that’s what our kits are built for.

Files and team use

What format are the files?

Editable Microsoft Word documents and PowerPoint presentations, plus printable PDFs of the desk cards, checklists, forms, and certificates. Everything also opens in Google Docs and Google Slides.

How do I get my kit after I buy?

Checkout and delivery are awaiting the owner’s checkout test. We’ll confirm the download and email steps once that test has passed. The kit’s “Start Here” document explains how to get started.

Can I use one kit for my whole team?

Yes. One purchase covers everyone in your business at one company location: print the forms, present the training, and share the policy with every employee and contractor. Running more than one company, or a franchise? Contact us about a multi-location license.

Can I resell or share the kit with other businesses?

No. The kit is licensed for use inside your own business. If you’re a consultant, IT provider, or association that wants to offer it to clients or members, ask about our partner program.

Using the kits

How long does it take to set up?

About one afternoon. Fill in your business name and a few details (about 20 minutes), print the desk cards, and hold one 15-minute training session. Each kit includes a day-by-day rollout checklist, so nothing gets missed.

Do I need to be good with technology?

No. If you can edit a Word document and click through a PowerPoint, you can use the kits. Every place you need to fill in is marked in brackets, like [Company Name], so you can search for “[” and find them all.

Do I have to run the training myself?

You can, and you don’t need to be an expert. Each training presentation comes with a word-for-word script for every slide. Present it live at a team meeting, or record yourself reading it over the slides in PowerPoint and share the video with your team and future hires.

Can I change the policies to fit my business?

Yes, and you should. Everything is fully editable. Add your own tools, change approval limits, and adjust the rules to how your business works.

How do I prove my team was trained?

Every kit includes signed acknowledgment forms. The Scam Defense Kit adds a 10-question quiz and certificates of completion. Keep them on file to show your insurance agent, clients, auditors, or a franchise or brokerage that your team was trained and when.

AI Policy Kit

Does this kit ban my team from using AI?

No. It does the opposite. AI saves real time on emails, listings, estimates, and paperwork. The kit lets your team use it with confidence by making three things clear: which tools are approved, what information never goes into them, and that a person checks everything before it goes out.

Which AI tools does it cover?

All of them: ChatGPT, Claude, Microsoft Copilot, Google Gemini, and the AI features built into the software you already use. The Approved Tools Register lets you list exactly which ones your business allows.

What’s the Red / Yellow / Green data guide?

A one-page chart that tells employees, at a glance, what can go into AI tools. Red is never (things like Social Security numbers, bank details, and screening reports). Yellow is careful (names removed first). Green is go. It’s written for each industry, so your team sees examples from their real work.

What’s in the industry review checklist?

It depends on your industry, because the risks are different. For the currently listed industry-specific kits:

  • Real Estate: a Fair Housing AI Review Checklist for listings and ads.
  • Accounting & Tax: an AI Review Log to document human review of client work.

Review checklists for property managers, insurance agencies, home services, and a Small Business edition belong to editions that are not currently listed.

What are the safe prompts?

Around 20 ready-to-use prompts written for your industry, like drafting a listing that describes the property and not the buyer, explaining a policy in plain English, or formatting an estimate without changing any numbers. They help your team get good results from AI on day one, without putting private data at risk.

Scam Defense Kit

What kinds of scams does it cover?

The ones that actually take money from small businesses: fake invoices and “we changed banks” emails, payroll direct-deposit changes, gift card requests that look like they’re from the owner, fake tech support, and phone or video calls that use AI to copy a familiar voice. The listed industry versions add their own, such as closing-day wire fraud in real estate and refund redirects in tax season.

Can AI really copy someone’s voice?

Yes. Today’s voice-cloning tools can produce a convincing copy from a short recording, such as a voicemail greeting or a social media video. That’s why the kit teaches your team that a familiar voice is not proof, and gives them two simple habits that stop these scams: call back on a number you already have, and ask for a company safe word.

What’s a company safe word?

A word or phrase only your team knows, shared in person. When someone calls with an urgent request involving money, data, or access, your employee asks for it. A scammer with a perfect voice copy still won’t know the word. The kit includes a setup guide and a change log.

Will this guarantee we never get scammed?

No training can promise that, and we won’t pretend it can. What the kit does is build the habits that stop most payment fraud: pause, verify by calling back, and get a second approval. It also gives your team a clear first-hour plan if something does get through, because acting fast gives you the best chance of getting money back.

Is there something I can give my clients?

Yes. Every Scam Defense Kit includes a ready-to-send client notice, such as a wire fraud warning for home buyers or a security notice for tax clients, plus a one-line version for your email signature. It protects your clients and shows them you take their money seriously.

Legal, compliance, and industry questions

Is this legal advice?

No. The kits are carefully researched templates and training materials, not legal, tax, or compliance advice. They give you a strong, practical starting point that would take many hours to write yourself. We recommend having your attorney or advisor review the policies for your state and business before you adopt them.

Will this make my business compliant?

No template can guarantee compliance, because the rules depend on your state, your industry, and how you operate. The kits are built around the rules that matter most in each industry, so you start ahead. For example, the real estate kit is built around fair housing advertising rules. The accounting kit is designed to attach to your Written Information Security Plan and reflects the IRS’s 2026 guidance on AI in tax practice.

I’m a real estate brokerage. Doesn’t NAR already offer a free AI policy?

Yes, and it’s a good one. Our kit is designed to work alongside it. NAR’s template gives you the policy; our kit gives you everything needed to roll it out: a fair housing checklist for AI-written listings, real agent scenarios, a training presentation with a script, safe prompts, and sign-off forms.

I’m a tax preparer. Why do I need this before tax season?

Because tax season is when the risk peaks. Staff are busiest, AI shortcuts are most tempting, and refund-redirect scams and fake “new client” emails ramp up. The IRS issued its first guidance on AI in tax practice in June 2026, making clear that a human remains responsible for AI-assisted work and that firms should have written AI procedures. Getting your team trained before January is the easiest time to do it.

My business isn’t in one of your industries. Which kit should I buy?

The catalog has one general AI Policy Kit. Check its listing to see whether its contents fit your business, or email us for help choosing. The Small Business edition is not currently listed, and checkout is awaiting the owner’s test.

Do you have kits for medical, dental, or law offices?

Not yet. Those industries have strict privacy and ethics rules (like HIPAA for health information), and we’d rather get them right than get them fast. Join our email list to hear when they’re available.

Support, updates, and refunds

What if AI tools or the rules change?

They will, and we keep up. We review every kit regularly and update it when laws, guidance, or common scams change. The update policy covers 12 months after purchase. Contact us about how updates will be provided while checkout and delivery testing are still pending.

Can you customize the kit for my business?

Our done-for-you setup service fills in your business name, approved tools, approval limits, and contacts with you on a 30-minute call, so you get a finished policy ready to sign. Contact us about availability.

What if the kit isn’t right for my business?

If the kit isn’t what you expected, email us at team@teamproof.madethis.app within 14 days of purchase for a full refund. No hassle.

How do I contact you?

Email team@teamproof.madethis.app and we’ll reply within one business day. Include your order number so we can help quickly.

Do you offer a free sample?

Our desk cards are one-page “AI do’s and don’ts” and scam red flags cards. They’re a quick way to see the quality of our kits and start protecting your team. Email us to ask about a sample for your industry; download delivery is awaiting the owner’s checkout test.
